What we collect
- Contact details you submit through our enquiry or sign-up form (name, email, phone, message).
- Booking and account information when you rent a room, suite or virtual address (billing details, ID for KYC where required).
- Correspondence — emails, WhatsApp messages and calls between you and our team.
- Basic technical data from your browser (IP, device, pages viewed) to keep the site running securely.
How we use it
- To reply to your enquiry and arrange viewings or bookings.
- To provide the services you've booked and handle mail on your behalf if you use a virtual office.
- To meet legal and regulatory obligations, including anti-money-laundering checks where relevant.
- To improve our website and services.
Legal basis (UK GDPR)
We rely on legitimate interests to respond to enquiries and run our business, contract to deliver services you've booked, legal obligation for tax, KYC and record-keeping, and consent for optional marketing communications, which you can withdraw at any time.
Sharing
We do not sell your data. We share it only with trusted providers who help us operate — for example our email host, booking platform, payment processor and accountant — and with authorities where required by law.
Retention
We keep enquiry data for up to 24 months after last contact, client and financial records for at least 6 years to meet UK tax law, and mail records for as long as you use our virtual office plus a short handover period.
Your rights
You can ask us to access, correct, delete or restrict your data, or object to how we use it. Email team@ssvsuites.com and we'll respond within one month. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).
Cookies
